Position Title: Storefront and Office Coordinator

Reports to: Programs Manager; also receives task delegation from Executive Director and Development Director as related to office functions

Supervisor Responsibility: Some volunteer or associate staff supervision as needed

Hours per week: 30 hours per week year round (.75 FTE)

Compensation: $20 hourly wage plus eligibility for full health & vision insurance coverage after 30 days of employment. Food Roots provides ten paid holidays and paid time off by accrual basis.

Duration of employment: This is a regular, part-time position, year round

Location and Schedule: This position is not available for remote work; Must be physically on-site at Food Roots office and storefront locations to perform the following specific duties. The schedule for this position will mainly be Mondays through Thursdays, 9:30am to 5:30pm until otherwise determined.


GENERAL POSITION GOALS AND DUTIES

  • Ensure that Food Roots’ FarmTable storefront and main office is high-functioning, well organized, and that communications between staff, producers and customers, volunteers, partners, and the community at large are both transparent and regular.

  • Commitment to “raising the bar” for Food Roots administrative functions and work with internal Food Roots staff to continually improve systems and efficiencies.

  • Support administration of FarmTable to ensure maximum implementation and effectiveness of our in-person and online marketplace.

  • Be knowledgeable of Food Roots programming and have the ability to communicate our mission, vision and activities to the community at-large.

  • Be the point person on site at Food Roots and facilitate community connections.


SPECIFIC DUTIES

  • General Office Administration

  • Receive and check mail and voicemail

  • Accounts receivable and payable

  • Make income and expense entries into Quickbooks

  • Pay bills and send invoices

  • Maintain all physical and digital financial documentation, including providing scans of income and expense documentation to Development Director.

  • Physical office & storefront maintenance

  • Coordinate office cleaning, recycling, and otherwise maintain indoor and outdoor spaces

  • Supervise volunteers and assign tasks

  • Coordinate all office accounts, contracts, service providers

  • Work with Development Director to implement donor relations tasks


  • FarmTable Administration

  • Online marketplace/food hub

  • Weekly online order fulfillment; pack orders weekly and make available for customer pick up or delivery service, utilizing volunteers for support (currently 1x/week)

  • Be knowledgeable of Food Roots online marketplace software, attending trainings and otherwise be able to support customers with technical assistance in using the online market

  • Provide support to marketplace vendors as needed including inventory management through online marketplace software when needed.

  • Storefront walk-up

  • Facilitate retail sales for storefront walk-up customers

  • Train and support associate level staff, volunteers or other staff members who fill in at the storefront as needed

  • Supervise volunteers and assign tasks

  • Provide customer support and communicate local product offerings

  • Product inventory

  • Coordinate producer deliveries to the store for both online orders and in-store inventory

  • Maintain wholesale vendor inventories at the storefront and coordinate deliveries.

  • Food Equity program delivery

  • Support the design, coordination and evaluation of food equity/access programming through FarmTable including: Bounty Boxes, SNAP CSAs and other new programming as developed.


  • Communications and Outreach

  • Respond to emails, voicemails, website, Facebook and Instagram inquiries; route to appropriate staff person when needed

  • Set and communicate any office or storefront closures due to holidays or staff absences

  • Be knowledgeable of Food Roots programming and provide program outreach materials or word of mouth information to storefront visitors

  • Be the liaison between customers, FarmTable vendors, and other Food Roots team members

  • Support other outreach efforts including social media posts, program outreach & flyer distribution

  • Attend weekly all-staff meetings and other community/partnership meetings as requested

  • Other duties as assigned

  • Ability to manage multiple tasks and prioritize with limited supervision; self-motivated.

  • Computer proficiency and knowledge of google drive/docs.

  • Willingness to train and learn new skills in order to fulfill the job duties as requested.
